Canyon Oaks Online Directory

Hey neighbors,


In this post, we're introducing the Canyon Oaks Online Directory. We'll explain what it is, who can access it, and how to access it.


COHAD has two web sites:



Everyone in the world can see all the content on the public web site, which is very useful for new residents, realtors, and people considering moving to Canyon Oaks.


The Directory web site is restricted to residents of Canyon Oaks. When you visit that web site, you won't really see much, even after you sign in. But once you've been granted access, this web site provides a directory of Canyon Oaks residents, very similar to the printed directories we've had in the past. It contains the names, email addresses, and phone numbers of any residents that have chosen to share that info.


It also contains other contact information that is not necessarily shared. We'll explain more about that below.


Logging in for the first time


The first step to gaining access is to simply sign in. If you're on a small screen such as a phone, you'll need to tap the menu at the top left to expand it and see this option.



You'll be given the option to sign in with either Google or Facebook. Whichever you choose, remember to use the same one every time to ensure you have the proper access.



If you've logged into other web sites with Google or Facebook, this part will be familiar, and you can skip to the next section.


In this example, I'm using Facebook, so I'm redirected to Facebook to sign in:



Because this is my first time signing into directory.cohad.org using Facebook, I'm prompted to grant access to read some basic information from my Facebook profile:



After choosing "Continue as Bill", I'm finally logged in. You may also be prompted for your street address at this point if it wasn't supplied by Facebook or Google. This allows us to associate your account with your home in the neighborhood.


Waiting for approval


Even though I'm signed into the web site now, I can't see much yet, because my account is pending approval. I have a dropdown menu that shows the email address I'm signed in with, which allows me to log out. And then I have a My Info option:

At this point, I need to wait for an administrator to assign permissions to the account that I just used to register. If something doesn't look right, we might reach out to you directly to confirm whether an account belongs to you before we grant permissions. This means you may have to wait a bit for approval so that we can keep all our data safe.


Using the directory


When I return to the web site after being granted permissions, I have a new option at the top:



Clicking this option brings up a directory that looks a lot like the printed one. We've blurred out all the information here, but you get the idea. The search box at the top can be used to search for anything - a name, address, email address, or phone number.



Controlling your shared information


I can control the information that I'm sharing in the directory by returning to the My Info tab. Because I have permissions now, there are a lot of new options here. My other half and myself are both listed, along with associated email addresses and phone numbers.


Note the checkboxes on the right next to each item. Every item has a Show in directory setting, and this is what controls what other people see. In this example, I have two email addresses, but only one of those is visible to other residents.


Email addresses also have several checkboxes that let you control what emails you receive from us.





To edit any of this information, click the Edit button at the top to activate all the editing options.





This looks complicated at first, so let's go through it from top to bottom.


Adding things to the home



At the top, we have options for adding things to the home. If you want to list a home phone number, this is where you can add it. Or, if you want to share a single email address for everyone in the home, this is the place to do it. The button on the right can be used to add residents. If the in-laws move in, or if you want to share your kids' names in the directory, you can add people as residents using this button.


Editing a resident


When adding a resident, only a name is and a type are required, but you can use the two buttons under the resident to add more details. Changing the type affects some of the options available. There are three types of residents:


  • Homeowner - The first two residents of this type will be displayed as the primary residents of the home. Their names will appear as Surname, Given Name on the top line for this address in the directory.

  • Child - This type of resident cannot have contact information such as email addresses and phone numbers. Selecting this type makes two new options appear - Year Of Birth and College Name. Both of those fields are optional, but they can be helpful for families looking for playmates of similar ages, or other college kids going to the same schools. All children in a home appear on a single line with first name only, followed by year and/or college if provided.

  • Other adult - This type of resident appears after the homeowners but before any children, and they can have contact info. This type can be used for adult children or for any other family or residents of the home.



Let's add some information to our new resident. In this example, we have two email addresses. One is shown in the directory to other residents, but the other email address is where we've chosen to receive neighborhood emails. That one is hidden from the directory. We've also shared a mobile number, home number, and work number.



To delete an old email address or phone number, use the red icon to right of the item. To delete the whole resident, use the red icon next to the resident's name.




When you're done editing your home information, click Save Changes at the top.
